How to respond to a job rejection email
It stings, and the last thing you want to do is be gracious about it. But a short, professional reply costs you two minutes and leaves the door open. Recruiters remember the people who handled a no well, and second choice candidates get called back more often than you think.
Should you reply at all?
If you interviewed, yes. If it was an automatic rejection from a portal with a no reply address, there is nobody to answer, so skip it. If a real person wrote to you after an application, a one line thank you is a nice touch but optional.
Example: simple thank you
Hi [Name], Thank you for letting me know, and for your time during the process. I enjoyed learning about the team and would be glad to be considered for future roles. Best, [Your name]
Example: asking for feedback
Hi [Name], Thank you for the update. I appreciated the chance to interview for the [Role] role. If you have a moment, I would value any feedback on how I could strengthen my candidacy for similar roles in the future. Thanks again, [Your name]
Example: staying on their radar
Hi [Name], Thank you for letting me know. I really enjoyed meeting the team, and I would love to stay in touch in case another role opens up that fits my background. I will follow you on LinkedIn, and please feel free to reach out. All the best, [Your name]
What not to do
- Argue with the decision or ask them to reconsider.
- Reply angry. Write it, delete it, then send the nice version.
- Ask for feedback more than once. Many companies are not allowed to share it.
- Take it personally. You will never see most of the reasons behind a decision.
Frequently asked questions
How soon should I reply to a rejection email?
Within a day or two is ideal, once you have had a moment to process it.
Will a company give me feedback?
Sometimes. Many companies have policies against detailed feedback, so ask once, politely, and do not be discouraged if they decline.
Can a rejection turn into an offer later?
Yes. Chosen candidates sometimes decline or leave early, and a gracious reply makes you an easy person to call back.
